Policy Statement

The very nature of the work performed by employees with access to the Alumni/Development Information Systems requires these employees to access and use information that is personal, private, or confidential under State or federal Law. Information includes but is not limited to confidential donor, personnel, and financial information, such as credit card numbers, pledge commitments, wills, and trust documents (“Information”).

Employees are responsible for the proper handling of Information whether in oral, written, or electronic form.
Employees must carefully guard Information and access, use, and disclose this information only as required to perform my job responsibilities and only in a manner consistent with law and University policy.
Employees will store Information in an appropriate manner, such as in locked file cabinets or on password-protected computers. Employees will not store Information on a smartphone or personal digital assistant device.
If employees have any question about this policy or its application, they will consult their supervisor, their HR Facilitator, Associate Vice Chancellor of Business and Operations for University Development, or the Director of Alumni Records and Information Systems for the General Alumni Association.
Employees understand that willful failure to comply with the policy will subject them to disciplinary action, up to and including termination of employment.
